For employers · Pipeline tracking
Know exactly where every candidate stands.
Each candidate carries their own stage, from sourced through outreach, client review, interview, offer and hire. No status meetings, no chasing a recruiter for an update, no candidate quietly stalling in someone's inbox for a fortnight.

What you see
Per candidate, not per role.
A role-level status tells you nothing useful. Twelve people at 'in progress' is not a pipeline, it is a shrug. Every candidate moves on their own track.
Stage per candidate
Sourced, outreach, awaiting response, your review, interview scheduling, interview, decision, offer, negotiation, hired, each with the date it changed.
Where it is stuck
Time in stage is visible, so a candidate waiting nine days on an interview slot is obvious rather than forgotten.
Rolling review
Candidates reach you one by one as they clear screening. You approve or reject each on their own merits instead of waiting for a batch.
Reasons attached
Every stage change carries who moved it and why, so a decision made six weeks ago is still explainable today.
How a candidate moves
One track, ten stages, no ambiguity.
A candidate only ever occupies one stage, and only a recorded action moves them. Nothing advances because somebody assumed it had.
Sourced and contacted
The candidate is matched to your role and approached. While outreach is live, they are held to your vacancy so two facilities are not chasing the same person.
Response collected
Interest, availability and notice period are confirmed before anything reaches you. An unanswered approach never becomes a shortlist entry.
Your review
The candidate arrives with their score and the reasoning. You approve or reject. Approval releases the hold, so parallel processes are allowed from here.
Interview to offer
Scheduling, interview, decision, offer and negotiation each move as recorded events, ending in a hire that withdraws their other candidacies automatically.
Why per-candidate tracking
Roles do not have stages. People do.
Healthcare hiring fails in the gaps, an interview never booked, an offer never followed up, a candidate who accepted elsewhere three weeks ago. Tracking at the candidate level makes each gap visible while it is still fixable.

- Stage a candidate can occupy at a time
- 1
- Every stage change is timestamped, attributed and reversible only by a recorded action
- Outreach holds a candidate to one role, so you are not bidding against yourself
- After your review the hold releases, parallel processes are allowed
- A hire automatically withdraws that person's other live candidacies
- Rejection and withdrawal reasons stay attached to the record
Questions
About pipeline tracking.
No. Stages move from recorded actions, an approval, a scheduled interview, a sent offer. There is no separate status field for anyone to keep in sync by hand.
Not during outreach. While a candidate is being approached they are held to one vacancy, which stops two facilities chasing the same person. Once you have reviewed them the hold releases and parallel processes are allowed.
The hire is recorded against your role and that person's other live candidacies are withdrawn automatically, so nobody keeps interviewing a professional who has already started elsewhere.
Yes. Every stage change carries who made it and the reason given, and the history stays on the candidate rather than in a mailbox.
